Renewal Canada is looking for a motivated and detail oriented Administrative Assistant to join our team! The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to supporting our office operations. This role is essential in ensuring smooth administrative processes and providing exceptional customer service. This role reports to the Executive Director.
Responsibilities:
- Provide administrative support by managing schedules, coordinating meetings, and preparing necessary materials.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Utilize Microsoft Office 365 for document creation, spreadsheets, presentations and virtual collaborations.
- Proofread documents for accuracy and clarity before distribution.
- Act as first point of contact by addressing inquiries and resolving issues in a timely manner.
- Collaborate on a quarterly donor newsletter with updates, inspiring stories, and community news
- Collaborate with the Renewal Canada team on storytelling campaigns that spotlight donors and their life-saving impact
- Ensure follow-up with donors and sponsors with thank you letters to share the impact of their contributions.
- Support and coordinate donor appreciation events to celebrate our heroes
- Track donor milestones (transplant anniversaries, birthdays) and arrange small gestures of appreciation
- Maintain confidentiality of sensitive information in compliance with company policies.
- Other related duties as assigned
Required Skills & Job Knowledge:
- Proficient in Microsoft Office Suite, including strong Excel skills and the ability to execute mail merges and email merges
- Exceptional organizational skills with a sharp eye for detail and accuracy
- Experience with storytelling and creating social media content is a must
- Graphic Design experience in Canva is an asset
- Strong interpersonal and communication skills, with the ability to build relationships with donors, sponsors, and volunteers
- Ability to attend events outside of standard business hours - in the evenings and weekends
- Ability to work independently, with a demonstrated ability to take initiative and be self-motivated
- Vehicle required for pickups and deliveries to and from events
- Occasional travel may be required for events or meetings.
- Prior experience working in a Jewish organization is an asset
