Executive Assistant to Senior Rabbi and Executive Director

Temple Sinai Congregation is seeking a highly organized, discreet, and proactive Executive Assistant to support the Senior Rabbi and Executive Director. This individual will serve as a key point of contact between Temple leadership and the congregation and will play a vital role in supporting communications, scheduling, administrative processes, and lifecycle coordination. The ideal candidate has a strong sense of customer service, is responsive to the needs of congregants, and brings professionalism and warmth to every interaction.

This position reports jointly to the Senior Rabbi and Executive Director.

RESPONSIBILITIES

Administrative Support

  • Manage and prioritize calendars for the Rabbi and Executive Director (ED), including meetings, appointments, lifecycle events, and community obligations
  • Draft letters, announcements, and other communications on behalf of the Rabbi and ED
  • Support the Rabbi and ED in managing key projects by tracking deadlines, coordinating details, and ensuring all logistical and administrative requirements are met
  • Provide administrative support for the Board of Directors, including:
    • Scheduling and coordinating board and committee meetings
    • Preparing and distributing agendas, meeting packets, and minutes
    • Maintaining official records and tracking board-related action items and follow-ups
  • Coordinate the responsibilities and workflow of the main office receptionist and the other clergy administrative support staff to ensure smooth, efficient, and well-organized office operations

Community Support and Lifecycle Responsibilities

  • Serve as a welcoming and responsive point of contact for congregants, families, and visitors
  • Coordinate wedding bookings and manage all clergy-related logistics
  • Coordinate funerals, shiva services, and unveilings, including the management of cemetery plots and related logistics
  • Main responsibility for the emergency phone on evenings and weekends to coordinate funerals outside of hours as needed (with rotational support from other members of the administrative team)

QUALIFICATIONS AND KEY COMPETENCIES

  • Proven experience in an administrative or executive assistant role
  • Excellent organizational, time management, and multitasking abilities
  • Ability to handle sensitive matters with the highest level of confidentiality and professionalism
  • Strong interpersonal skills and a service-oriented mindset
  • Excellent written, verbal and digital communication skills
  • Ability to problem solve, self-motivate and work collaboratively with others
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint), experience working with Salesforce (or a similar database) and/or the ability to learn new software
  • Familiarity with Jewish customs, holidays, and lifecycle rituals beneficial and/or an interest to learn
  • Availability for occasional evenings, weekends, or urgent scheduling needs (especially related to funerals or holiday events).

JOB DETAILS

  • Full-time in-person position to begin as soon as possible
  • Salary range is $60,000-70,000 annually, based on qualifications and experience
  • Temple Sinai offers comprehensive health benefits, paid sick days and a pension plan after 1-year of employment
