Executive Assistant

JIAS Toronto is a not-for-profit corporation dedicated to helping immigrants with settlement in the Greater Toronto Area. JIAS Toronto assists immigrants and refugees in meeting basic financial, language, social, and other requirements of immigration. We work to advance the well-being and social integration of newcomers by providing a full range of settlement support, counseling, language training, and referral services.

 

We are currently looking for an Executive Assistant to join our team. In this role, you will provide a variety of administrative duties in support of the Executive Director as well as the Board of Directors and various Agency Committees. This is a position outside the Bargaining Unit.

 

RESPONSIBILITIES:

  • Provide administrative support for the Executive Director including phone calls, scheduling meetings and appointments, participating in development of agendas for meetings.
  • Manage communications with external stakeholders such as clients, government and other agencies
  • Liaise and maintain ongoing communication with the Board Chair and other Board Members
  • Compile, update, maintain and distribute Board Meeting agendas, minutes, and relevant package material; attend all Board meetings, and Board committee meetings as required
  • Update and maintain documentation for board of directors such as sector briefs, policies, and compliance-related documents
  • Update and maintain documentation to support the management team as required.  
  • Support to senior managers as required for higher level Agency projects and initiatives
  • Agency wide support and coordination of internal and external events
  • Maintain mailing lists and efficient electronic filing system
  • Perform other duties as assigned.

 

REQUIRED QUALIFICATIONS:

  • Post-Secondary degree/diploma in an Office Administration or a related field.
  • Minimum 5 years related experience in an office-related setting. 
  • Experience supporting the board of directors or senior-level executives
  • Proficiency in Microsoft Office Package (Word, Excel, PowerPoint), knowledge of Access and database programs
  • Excellent written verbal skills to liaise with a variety of contacts
  • Work experience in a non-profit environment will be considered an asset
  • Comprehension of French or another language will be considered an asset
